THE ASK
We first learned about the G7 Summit in June 2024, when it was announced that Kananaskis would be the host location. By February 2025, the RFP was released—and it was no small document. Nearly 90 pages of highly specific technical requirements had to be addressed, with less than a month between the mandatory site visit, which took place just a week and a half after the RFP, and the submission deadline in March. Our team came together and responded with a 69-page proposal, which ultimately won us the project. That’s when the real work began.
Proshow was selected to deliver and manage all audiovisual services for the G7 Summit, including audio, video, simultaneous interpretation, broadcast lighting, and video displays across every summit venue. The event brought together nine world leaders for the primary G7 sessions, along with an outreach meeting that included invited nations, requiring interpretation in as many as ten languages.
The client’s needs were clear but highly detailed. Among many requirements, the ones that stood out most were uninterrupted language interpretation from a central hub, real-time connectivity between five venues across the site, and absolute attention to detail in both technical execution and visual presentation. At this level, there was no margin for error. Everything had to look and feel seamless. Adding to this was the location itself. Kananaskis is remote, with limited accommodations and long travel distances, which made logistics especially challenging. Transporting our gear and staff required precise coordination. Every piece of equipment and every team member had to be accounted for in advance to ensure everything arrived on time and in the right place.
THE SOLUTION
To meet the demands of this complex event, we leaned on our network of trusted partners. Congress Rental Network (CRN) is an exclusive alliance of likeminded companies, all carefully selected and vetted to represent Bosch’s digital conferencing technologies around the world. Proshow’s membership in the CRN played a key role in coordinating support through Duoson Multimedia, the CRN partner for Eastern Canada to assist with SI and discussion microphone integration. Bosch also sent their global subject matter expert to ensure seamless product deployment. Through our long-standing relationship with Canadian distributer SF Marketing, Netgear provided top-tier network switches and routing solutions to support our multisite AV connectivity needs. We also partnered with Orange Frog to provide the lighting, ensuring every element of the production matched the scale and significance of the event
Our engineering team worked tirelessly to maintain our high standards. We implemented triple redundancy, with two backups running at all times. The visual design of the space was treated with precision. Each setup took an additional two hours to ensure cables and hardware were perfectly hidden. This allowed the technology to blend seamlessly into the environment without distracting from the experience.
Our internal management structure was key to staying agile. Collaboration between engineering and logistics, paired with a clear division of responsibilities, allowed us to respond quickly to real-time challenges. We used an approach where one lead focused on immediate, day-of issues while another handled planning and logistics for the following day. This method helped us stay ahead of logistics such as shuttle schedules, gear transitions, and site coordination. It is a process we have refined over time, and it proved essential in managing the curveballs we encountered, both logistical and technical.
What truly carried the project forward was trust. With so many moving parts, we worked closely with client representatives to navigate challenges, present solutions, and build consensus around the best path forward. We quickly demonstrated that we were more than just a vendor; through consistent delivery and clear communication, we earned their confidence as a reliable partner committed to getting it right.
THE OUTCOME
The summit was one of the most complex projects we’ve tackled, but also one of the most successful. What began with cautious oversight from the client evolved into a true partnership, with our team recognized as a driving force behind the event’s success.
Our years of experience with high-level government projects, combined with strong relationships, helped us navigate unexpected obstacles on site. It opened doors to key individuals who recognized our capabilities and trusted us to deliver at the highest level. Our reputation gave our partners the confidence to send their best teams to support the work and contribute meaningfully to the success of the project.
In the end, we didn’t just meet expectations—we exceeded them. We delivered above and beyond what the client imagined possible, setting a new standard of detail and reliability. The G7 Summit in Kananaskis became a true showcase of what happens when preparation, partnerships, and trust come together.
