The five-day conference welcomed over 800 physicians in person and 700+ online participants, making a seamless hybrid experience essential. The client required clear, unobstructed visuals for in-person attendees, streaming for virtual participants, and a seamless technical execution for over 70 speakers delivering complex medical content on a tight schedule. Every element had to meet the highest standards, ensuring engagement, accessibility, and precision in delivering critical subject matter.
THE SOLUTION
After supporting this event for several years, Proshow took the opportunity to evaluate past challenges and pinpoint key areas for improvement. Through close collaboration with Providence Health Care, we designed an enhanced audiovisual solution that ensured a seamless experience for both in-person and virtual audiences. In the plenary room, we strategically positioned five large projection screens—three at the front and two delays—to guarantee optimal viewing for all attendees. Meyer line arrays provided crystal-clear audio, while Barco 30K UDM laser projectors delivered high-definition visuals that enriched the presentations. For online participants, Proshow set up a custom-branded webcast portal, offering seamless access to live presentations, Q&A sessions, and discussions in real-time.
Our support extended beyond the plenary to multiple sub-plenary rooms, exhibition areas, and breakout rooms. A standout addition to the conference was the lunch-hour performance by the Underground Circus in the West Exhibition Hall, providing a unique and memorable experience. Projection screens above the stage ensured all attendees had a clear view, allowing everyone to fully immerse in the captivating performance from any angle.
Before the event, our expert technical team provided consultations, ensuring alignment with the client’s objectives and proactively addressing potential challenges. During the event, our crew ensured smooth transitions between sessions, flawless execution of presentations, and real-time troubleshooting. Proshow’s attention to detail from pre-production to execution highly contributed to the event’s success.
